There are two ways to build an application. Both end in the same place: finished documents logged to your SignalIQ FlightDeck.
🧭 Guided Application Workflow (recommended): The step-by-step experience. Open Application Workflow in the sidebar and work through the seven steps in order: add the job description, create a tailored resume, review your Resume ATS Score, run SignalIQ Resume Optimization, create the cover letter, run Cover Letter Readiness, then download your completed documents. Completed setup and review steps show a checkmark, and Kaxori highlights what to do next. Download Final Documents remains the final action and does not count toward completion. Workflow checkmarks reflect the currently selected application: opening an application in SignalIQ FlightDeck selects it, updates the checks, and also makes it the active application that new scores and documents save to. Pasting or fetching a materially different job description starts a new unsaved application, while whitespace-only differences in the same job description do not. The Home journey card tracks your overall onboarding progress instead.
⚡ Quick Process: The one-button option when you want speed. On Create Tailored Resume, paste a job posting URL and click Process & Download. Kaxori fetches the job, tailors your resume, writes a cover letter, creates .docx files, and logs the application in one step. You can still open the Application Workflow afterward to review your Resume ATS Score and run Cover Letter Readiness.
🧭 Reading the sidebar: The four journey steps (Build Your Foundation, Strengthen Your Story, Create Your Winning Application, Manage Your Job Search) appear together, in order, before Premium Tools. In the workflow list, gold means the step you are viewing now and green means that step's work was saved successfully. A step can show both at the same time while you review saved work, and a generated document only turns green after it is confirmed saved. Across the app, gold identifies the current or recommended action, green identifies saved, complete, ready, or measured improvement, high-contrast off-white copy contains instructions you should read, and muted gray contains optional or unavailable information.

Sign Up / Sign In: Kaxori requires a free account. Click Sign In on the welcome screen, then use Sign up to create a new account with your email and password. Existing users can sign in directly.

Password Visibility: Click the 👁 eye icon on the right side of the password field to show or hide your password as you type.

Remember This Device: The Remember this device checkbox on the sign-in screen keeps your session active in your browser's local storage. Uncheck it on a shared computer so your session clears when you close the tab.

Session Persistence: Your session stays active across browser refreshes. If your session expires you will be returned to the sign-in screen automatically. Simply sign in again.

Beta Access: During early access, some accounts may see a "Beta Access Not Open Yet" screen after sign-in. This means your account has not been approved yet. Approved users proceed to the app automatically. Contact the team if you think this is a mistake.

Manual Entry: Paste a job description directly into the Job Description field, fill in Target Job Title and Company, and ensure your primary resume is loaded. Click Tailor My Resume.

Additional Resumes/CVs (Optional): Resume-source management lives in Signal Vault (Step 2, Upload Resumes and CVs). Any resumes not set as Primary appear there in the Additional Resumes & CVs panel, and the AI draws the strongest achievements and metrics from ALL enabled versions. The checkboxes in Signal Vault also choose which alternate resumes feed cover-letter evidence. On this tab, the compact Manage in Signal Vault link under your resume field shows your current source counts and takes you there.

Review, then score: After generation your tailored resume scrolls into view so you can review it first. When you are ready, click the full-width Run Resume ATS Score button at the bottom of the output. Scoring never runs automatically. In the sidebar workflow, gold means the step you are on now and green means the step's work was saved successfully; a step can show both at once while you review saved work.
✍️ Create Cover Letter
After generating a tailored resume, this tab auto-fills the job description and resume. The Company Name syncs automatically from the Create Tailored Resume tab. Your profile header (name, email, phone, LinkedIn) is automatically applied to the cover letter document. Select a Tone and click Generate Cover Letter. Download as .txt, .docx, or .pdf. No extra setup needed. ☁️ Save to Google Docs is an optional bonus if you have Google Drive connected in Settings.
📊 Resume Review and Optimization
This covers workflow steps 3 and 4: Resume ATS Score and SignalIQ Resume Optimization. Resume ATS applies only to resumes. Paste a job description and your tailored resume, then click Run Resume ATS Score (after your first valid score the button reads Rerun ATS Score). Your tailored resume auto-fills here when generated. Kaxori returns:

Match Score (0–100): 100 minus total keyword and formatting issues. Automatically saved to the active application in your Tracker when an application folder is active.

Title Match & Skills Coverage: Sub-scores shown beneath the main score circle.
•
Keyword Bar Chart: Every JD keyword with found/missing status and frequency counts.

🎯 SignalIQ Resume Optimization (Premium only): The SignalIQ: Optimize Resume action appears at the bottom of Resume Analysis after your score. It returns targeted keyword substitution recommendations; each card shows the original text, the suggested replacement, and the reason (tied to a specific JD keyword). Select All selects every recommendation without applying anything; accept or skip cards individually, then click Apply Selected Improvements. After applying, the score on screen is stale, so the next step is always Rerun ATS Score. SignalIQ: Optimize Resume Again appears only when a fresh score is still below the optimization target of 91. The target is guidance, not a lock requirement. The new score is saved as the Optimized Score in the Tracker.

🔒 Lock Final Resume: The lock card sits at the end of Resume Analysis and is available at any score. Locking your final resume confirms it for this job and automatically opens Create Cover Letter; the cover letter itself is never generated automatically.

What Changed: After a rerun for the same application and job description, a compact card compares measurable results from the two runs (score, terms covered, missing terms, critical gaps). An unchanged rounded ATS Score does not always mean nothing improved; keyword coverage can improve while the rounded score stays the same.

🖨️ Print / Save PDF: Prints only the ATS analysis report: clean, printer-friendly layout with score, keyword analysis, gap analysis, and legal disclaimer. Use your browser's Print → Save as PDF option.

Qualification Guard: When the job description contains explicit hard requirements like a required license, certification, or degree field, Kaxori checks your resume for evidence. If a requirement appears to be missing, a qualification gap modal appears before scoring begins. This is advisory only. You can continue anyway. The guard does not fire on preferred qualifications or years-of-experience language.

Job Description Saved Automatically: When you run ATS Score, the job description is saved to the cloud and linked to the active application. If you come back to a job later by expanding its row in the Tracker, the saved JD restores into the ATS Score tab automatically so you can re-score without re-pasting.
🚦 Cover Letter Readiness
This covers workflow step 6. Cover Letter Readiness reviews your cover letter against the job description and returns a readiness verdict: Revise, Refine, or Send. Readiness wording applies to cover letters only. ATS scoring applies to resumes.

Review Cover Letter Readiness: Appears under your generated letter once it is saved to the active application. It opens the final review of role alignment, specific evidence, tone, readability, and remaining job-term gaps (or select workflow item 6). Cover letters always use readiness language, never ATS score language.

Run Cover Letter Readiness: Click Review Cover Letter Readiness under your saved letter, or open Cover Letter Readiness from the Application Workflow. Kaxori returns an overall readiness score, word count against the 200 to 350 target, paragraph count against the 3 to 4 target, and specific feedback. Use Rerun Cover Letter Readiness to recheck the letter after any change.

Improve Job Match: Strengthens role alignment, specific evidence, and supported job terms. It appears after readiness feedback. Select All selects recommendations without applying them; Apply Selected Improvements applies your selections and saves the updated cover, and the next step is always Rerun Cover Letter Readiness so the verdict reflects the letter you have now.

Download Final Documents: The final workflow action downloads your finished resume and cover letter as a matched set. It never runs automatically and never creates a completion check; workflow item 7 shows a ready highlight instead.

Polish Tone & Readability: Improves clarity, flow, sentence structure, and voice without changing the core evidence or role alignment. Review the polished preview, then choose Use This Polished Draft or Discard. Only one improvement tool is highlighted gold at a time: the one your current readiness findings recommend.

Review Actions: The guided finish flow walks you through the review, the human-judgment checklist, and approval before export. Rerun the review any time you edit the letter.

Readiness Feedback: The verdict is recalculated on every review, so it always reflects the letter you have right now. A changed resume, job description, or letter invalidates the previous verdict.
📋 SignalIQ FlightDeck

Every resume and cover letter you generate is automatically logged as a row in the Tracker.
Status: Click the status dropdown on any row to update it (Applied, Interview, Offer, Rejected, etc.).

Sort: Click any column header (Application, Date, ATS Score) to sort ascending or descending.
•
Version Drawer: Click any Tracker row to expand it. The drawer shows every document version generated for that application (resume and cover letter) with download links for each. Useful for comparing an original tailored version against an optimized one.

Restore Job Description: Expanding a Tracker row also restores the saved job description into the ATS Score tab. A "Restored from Tracker" label confirms it loaded. This lets you re-score or re-optimize a past application without re-pasting the JD.

📊 Export to Excel: Click Export to Excel to download all applications as a formatted .xlsx file with color-coded headers.
⚡ Batch Processing
Paste up to 10 job URLs (one per line) and click Process All Jobs. Each URL runs the full pipeline in sequence: tailored resume, cover letter, and tracker entry. Individual status icons show success (✓) or failure (✗) per URL. Batch processing uses your primary resume from the library.

URL Auto-Correction: If a pasted URL has leading characters before the https:// (for example ahttps:// from a copy-paste issue), Kaxori strips the garbage automatically and queues the clean URL.

Invalid URLs Skipped: Lines that do not resolve to a valid http:// or https:// URL after cleanup are skipped with a clear message. Only valid URLs are queued. The batch does not stop if one URL fails.
🔐 Beta Access
Kaxori is currently in early access. Access is controlled by the mode set by the admin team.

Admin Only: Only the Kaxori admin accounts can sign in. All other users see the "Beta Access Not Open Yet" screen.

⚙ Setup & Configuration

Upload Your Master Resume: In your Signal Vault (Step 2), open Upload Resumes and CVs and click ⬆ Upload Resume to upload your most complete resume (.docx recommended for best formatting). This becomes your Primary resume, the AI's source for all tailoring. You can upload additional versions as alternates.

Model Selection: Choose between Claude Opus (best quality), Sonnet (faster), or Haiku (fastest) in Settings ⚙. Opus is recommended for final resume tailoring.

Google Drive (Optional): Connect Google Drive in Settings ⚙ to enable one-click upload of your formatted .docx files directly to Google Docs. Click Connect Google Drive, sign in with Google, and authorize access. After connecting, the 📄 Google Docs button on the Create Tailored Resume and Cover Letter tabs uploads your document with full formatting intact.

Always use exact job description language in your resume. ATS systems match exact phrases, not synonyms.

Target an ATS Score of 80+ before submitting. Focus on Must Add terms first, then Boost Frequency.

Run SignalIQ after each tailoring session. Each pass builds on previous ones. Kaxori tracks what has already been applied so recommendations never repeat.

If no further optimization is possible, Kaxori will explain what real qualifications are needed to improve the score further. These cannot and should not be fabricated.

Roles older than 20 years are automatically omitted from the tailored resume to prevent ATS age-screening flags.

Upload multiple CV versions to your Signal Vault. The AI draws the strongest achievements and metrics from all enabled versions to build one optimal resume for each application.

What the analysis is telling you
PRIMARY STYLE
The dominant voice pattern found across all your writing samples. This becomes the AI's foundation when it writes your cover letter: the baseline for word choice, sentence rhythm, and how assertively ideas are framed. "Bold and Commercial" means you write with directness and business clarity. "Executive Edge" means authority and gravitas. The AI will write like you, not like a generic template.
SECONDARY STYLE
A supporting characteristic layered on top of your primary style, the flavor note. If your primary is "Bold" and your secondary is "Persuasive," the AI writes with the confidence of Bold but builds toward a conclusion the way a persuader does. These two traits shape every sentence in your letter.
CONFIDENCE %
How consistently your samples showed the same voice. 85%+ means your writing style is very clear and the AI can replicate it precisely. 65–84% means a solid reading, but some variation in your samples introduced some uncertainty. Below 65% means your samples are stylistically mixed. Add more samples in the same genre (LinkedIn posts, professional emails, articles) for a sharper profile.

The slider lets you override how aggressively the AI applies your voice to any specific letter. Move it before generating. The AI uses wherever the slider sits at the moment you click Generate.

ProfessionalClean, clear, modern business writing. The safe zone for most corporate roles. Confident without being aggressive.
BoldDirect and assertive. Grabs attention without overstepping. Works well for marketing, sales, growth, and leadership roles where results-focused language is expected.
Executive EdgeHigh-stakes, authoritative language. Best for VP, C-suite, or board-level applications where the reader expects someone who commands a room.
Voice Profile + Tone + Department Lens: How They Layer
These three settings work together, each playing a different role in shaping the final letter.

Voice Profile: your instrument. How you naturally write. The AI builds on your actual language patterns from your writing samples. This is the part that makes the letter sound like you instead of a template.

Tone: how loud you play. The emotional register for this specific letter. Professional keeps it measured. Enthusiastic adds energy. Executive adds gravity. Choose the tone that fits the company culture you're walking into.

Department Lens: the genre. The industry vocabulary and framing that signals you belong in this world. A Marketing lens uses ROI, pipeline, and brand language. A Technology lens uses systems, architecture, and delivery language. The lens makes the letter read as credible to the hiring team, not just the recruiter.
Together: Voice Profile is the person, Tone is the mood, and Department Lens is the industry context. A letter that gets all three right is one that a hiring manager reads and thinks, "This person gets it."
